HKU Summer Institute Website Design & App Development
The HKU Summer Institute offers specialized summer programs for international exchange students, allowing them to study at The University of Hong Kong while experiencing local culture. However, the previous management system was highly traditional, causing inconvenience for both incoming students and administrative staff. Issues included:
– Students had to handle enrollment, activity check-ins, accommodation registration, and campus spending manually with paper and pen. Many faced difficulties shopping upon arrival due to lack of Hong Kong dollars.
– Staff spent excessive time on enrollment enquiries, activity management, and data tracking, resulting in low efficiency, frequent errors, and difficulty monitoring student participation.
The outdated system affected the overall experience, reduced student satisfaction and enrollment interest, increased staff workload, and limited the program’s potential for sustainable growth.
Design Objective
Rovertech developed a complete digital ecosystem for HKU Summer Institute, including a professional website, a dedicated student app, and a staff management backend. The main goals were to:
– Enable international students to easily access course information, make enquiries, and receive campus life support
– Create a paperless experience through the app with QR code check-in, accommodation booking, and electronic payments
– Provide staff with real-time management tools to automate administrative tasks and reduce workload

The new website serves as the program’s digital storefront, clearly presenting course details, activity schedules, campus life information, and enrollment options with an enquiry form to help prospective students quickly understand and express interest.
Student App – Practical & Paperless
– QR Code Check-in: Students simply scan a QR code via the app to complete activity check-ins and accommodation registration — saving time and hassle.
– Personal Calendar: Clearly displays daily classes, activities, and important notices.
– One-Click Booking: Easy online booking for accommodation and activities with electronic payment support.
Staff Backend – Paperless Administration
– QR Code Attendance: Staff can instantly verify participation by scanning or viewing the backend, completely replacing traditional paper sign-in sheets.
– Automated Accommodation & Activity Management: Real-time viewing of booking status, room allocation, and check-in tracking — eliminating manual Excel updates.
– Real-time Data Monitoring: Centralized dashboard showing student status (enrollment, participation, accommodation, etc.), allowing staff to access the latest information anytime.
– Reduced Paper Usage: All enrollment, activity arrangements, and spending records are digitized, with automatic report generation.
System Scalability & Future Automation Potential
